1. Who we are and how to contact us

Mortgage HQ LTD provides mortgage and protection advice. Our company registration number is 14475807 and our contact address is 1 Weston Park Road, Plymouth, PL3 4NS. Our ICO registration number is ZB495128.

We are an appointed representative of New Leaf Distribution LTD. Mortgage HQ and New Leaf jointly determine how personal client information is used for core advice activities. Mortgage HQ is separately responsible for its own direct marketing and the purposes it determines for its online lead-generation tools.

You can contact us about either area. For advice-related information, you can also write to the Privacy Officer, New Leaf Distribution LTD, 165–167 High Street, Rayleigh, Essex, SS6 7QA. You may exercise your rights against either joint controller.

2. What this notice covers

This notice explains Mortgage HQ’s use of information through its website, Next Move Planner, Remortgage Checker, online enquiry forms, appointment bookings and related communications. It also summarises how information is used if you go on to receive advice. Additional notices may be provided when a particular service needs more detailed information.

We explain at each collection point what is required and what is optional. Using a tool or providing an email address does not, by itself, mean you have agreed to ongoing marketing.

3. Information we collect and where it comes from

  • Contact and enquiry information: your name, email address, telephone number if supplied, messages, appointment details and communication preferences.
  • Planning and comparison information: property values, mortgage balance, term, monthly payment, deal-end date, and figures you enter about savings, moving costs or household budgets.
  • Service records: correspondence, bookings, the source of an enquiry, consent records and the progress of your enquiry or application.
  • Technical information: IP address, browser/device information and service logs generated when you use our pages and embedded services. Optional tracking is addressed below.
  • Advice and application information: where needed, identity, address, employment, income, expenditure, assets, debts and supporting documents. Protection advice may require health or lifestyle information; this is not requested by our basic mortgage calculators.

We collect information mainly from you through forms, tools, conversations and bookings. Where relevant to an advice service, we may also receive it from New Leaf, lenders, insurers, your authorised representatives, introducers, and identity or fraud-checking services. We will explain additional sources and uses where necessary.

4. What happens when you use our tools

Next Move Planner: the access form records the contact details and choices you submit. The calculator then uses the financial figures you enter to produce estimates. Submitting the access form is separate from entering figures into the calculator.

Remortgage Checker: the first step temporarily saves your figures in your browser’s session storage so they can pass between pages and be restored when you go back. The checker stops using saved answers once they are more than 24 hours old; this is a validity limit, not a guarantee that browser storage has been erased. Session storage normally ends when the browser tab/session closes, although browser restore behaviour varies.

The comparison step sends the relevant property and mortgage search figures to MortgageQuote to obtain results. Embedded services also receive technical connection information. If you submit a callback or enquiry through the provider’s widget, information entered there is handled as part of that request.

When you submit our name-and-email form, those details and your recorded preferences are stored in our customer-management system. Giving us contact details does not automatically mean that every figure entered in a calculator is saved to your contact record.

5. Why we use information and our lawful bases

  • Answering general enquiries and operating free tools: our legitimate interests in responding to requests, providing useful services and running our business, balanced against your rights. We only use information reasonably needed for those purposes.
  • Taking requested steps towards an advice service and delivering that service: steps at your request before entering a contract, or performance of our contract with you, where that basis applies.
  • Legal and regulatory duties: compliance with applicable obligations, including relevant record-keeping, identity checks and regulatory oversight.
  • Security, administration and handling complaints or claims: legitimate interests in protecting our services, maintaining reliable records and resolving disputes; legal obligations where applicable.
  • Optional funnel email marketing: your consent, recorded through a separate choice. This includes promotional follow-up and marketing reminders about your deal ending.
  • Optional analytics or advertising technologies: consent where required, with the choices and purposes explained when those technologies are offered.

If an advice service requires health information or other special-category data, we will explain the additional legal condition used before collecting it, such as explicit consent or an applicable insurance-related condition. We do not treat ordinary agreement to this notice as explicit consent for that processing.

6. Emails, reminders and your choices

For these online funnels, ongoing promotional emails are offered through a separate, optional choice. You can view results without agreeing to that marketing, although the results-access form asks for your name and email.

We may send communications needed to fulfil a request you have made, such as an appointment confirmation or response to your enquiry. We distinguish these from optional marketing. Service messages are not a way to bypass your marketing preferences.

You can object to direct marketing at any time. Use the unsubscribe link in our marketing emails or contact us. You can withdraw consent without affecting the lawfulness of earlier processing. We keep limited suppression information where needed to ensure we do not contact you again against your wishes.

7. Who receives information

Information is made available only as needed for the relevant service, including to:

  • New Leaf Distribution LTD: advice-related oversight, administration and regulatory responsibilities under our arrangements.
  • HighLevel / GoHighLevel (including LeadConnector services): hosting funnel pages and forms, managing contact records, recording preferences and delivering configured communications and workflows.
  • MortgageQuote, a trading style of Quarkly Ltd (company number 14343510): processing mortgage comparison searches and any enquiry you choose to submit through its widget. Read MortgageQuote’s privacy policy.
  • TidyCal: handling appointment bookings and the booking details connected to our GHL contact and opportunity records.
  • Website, IT and communication suppliers: hosting, support and delivery, including Search4Local for the main website where it provides those services.
  • Lenders, insurers and relevant professional or verification services: where you ask us to arrange advice or an application and sharing is necessary for that process.
  • Regulators, courts and public authorities: where disclosure is required or otherwise lawfully justified.

Some recipients act on our instructions; others are responsible for their own processing. Where another organisation acts as a controller, its privacy notice explains its responsibilities. We do not sell your personal information.

8. International transfers

Some technology suppliers may process information outside the UK. Where this is a restricted transfer, an appropriate legal transfer mechanism is needed, such as UK adequacy regulations or approved contractual safeguards. You can contact us for information about the safeguards applicable to your data.

9. How long we keep information

We keep your personal information only for as long as necessary for the purposes described in this notice. How long we retain it depends on the service provided, whether your enquiry or client relationship remains active, applicable legal and regulatory record-keeping requirements, and the need to resolve complaints or legal claims. When information is no longer required, we securely delete or anonymise it.

If you unsubscribe from marketing, we stop using your details for that purpose. We may retain limited suppression information to respect your choice, and other records where there is a separate, justified need to keep them.

10. Cookies, browser storage and measurement

Our pages and embedded tools use browser technologies to provide their features. For example, our remortgage form uses session storage to carry your answers between steps, and the MortgageQuote loader uses local storage for widget settings/state.

Any optional analytics, advertising pixels or email-engagement tracking must be explained through the relevant privacy/cookie information and choices. A privacy notice is not a substitute for obtaining consent where required. Browser settings may also let you clear or block storage, although that can prevent the multi-step comparison from working.

11. Automated tools and decisions

Our calculators use your inputs to produce estimates, and the comparison service filters and orders mortgage results. Configured workflows can send messages or create reminders based on information such as a form submission or deal-end date. These tools do not themselves approve a mortgage, determine your entitlement to credit or replace individual advice. Lenders make their own lending decisions and explain their processing separately.

12. Security

We use appropriate technical and organisational measures to protect information and limit access to those who need it. No online service can guarantee absolute security. Please use the secure channels we provide for identity, banking, health or other sensitive documents rather than entering them into a general enquiry box.

13. Your rights and complaints

Depending on the circumstances and lawful basis, you may ask to access your information, correct inaccuracies, erase information, restrict its use, receive or transfer certain information in a portable format, or object to processing based on legitimate interests. Some rights have exceptions, including where records must be retained to meet legal obligations.

Your right to object to direct marketing is absolute. Where we rely on consent, you can withdraw it at any time.

You can contact us verbally or in writing. We may ask for proportionate information to verify your identity where necessary; we do not routinely require two identity documents for every request. We normally respond within one month, subject to applicable rules on clarification and extensions. Requests are normally free.

If you are unhappy with how we use your information, please contact us. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint or 0303 123 1113. You do not have to complain to us first.

14. Updates and other services

We will update this notice when our processing changes and make material new uses clear before they begin. Other organisations’ websites have their own notices. Linking to another service does not remove our responsibility for information we send to it.

Mortgage HQ LTD (FCA ref 987427) is an appointed representative of New Leaf Distribution LTD (FCA ref 460421) which is authorised and regulated by the Financial Conduct Authority (FCA).

A broker fee may apply depending on your circumstances and the mortgage service required. Any fee will be explained and agreed with you before you proceed.

Your home may be repossessed if you do not keep up repayments on your mortgage.
